SIAS Grade Uploader — User Manual
This web tool automates grade submission to the SIAS portal by reading student grades directly from your prepared Excel class record and encoding them to the system — no manual entry required.
Requirements
- A modern web browser (Google Chrome recommended)
- Valid SIAS instructor credentials
- Your class record in .xlsx format (Excel 2007 or later)
- Stable internet connection
Step-by-Step Guide
Step 1 — Login
Enter your SIAS username and password, then click Sign In. The tool will authenticate with the SIAS portal and retrieve your class list for the current grading period.
Step 2 — Configure & Upload
- Select a Class Record Template that matches the Excel format you are using. Built-in templates are pre-configured for common formats used within the college.
- If your Excel file uses a non-standard layout, choose ✎ Custom (Manual Entry) and fill in the sheet names and starting cell references manually. These settings are saved automatically after a successful upload so you won't need to re-enter them next time.
- Drag and drop your .xlsx file(s) into the upload area, or click browse files to select them. Multiple files can be uploaded at once.
- Click Preview Grades to extract and review the data before submission.
Step 3 — Preview & Assign
- Each uploaded file appears as a card showing the number of students found and any validation errors detected.
- The tool will attempt to auto-assign each file to a SIAS class based on the file name. Verify the selection and correct it if needed using the Assign to SIAS Class dropdown.
- Expand the grade table to review individual student records. Rows highlighted in red contain errors that must be resolved in the Excel file before uploading.
- Once all files are assigned and error-free, click Upload All.
Step 4 — Done
The results page shows the upload status for each file. A green checkmark indicates success. If any file fails, the reason is displayed and you may go back to retry.
File Naming Tips
The auto-assign feature works best when your file names include the subject name and section code. Examples of good file names:
- Internet of Things - BSIT 3B.xlsx
- Web Systems - BSCS 2A.xlsx
- Data Structures BSIT 2B.xlsx
Custom Template Reference
When using Custom (Manual Entry), you must provide the following cell references from your Excel file:
- Main Sheet Name — the name of the worksheet tab containing student IDs and names (e.g.
CLASS RECORD) - Grade Sheet Name — the worksheet tab containing final grades. Leave blank if grades are on the same sheet as the main data.
- Student ID Start Cell — the cell where the first student ID appears (e.g.
B20) - Name Start Cell — the cell where the first student name appears (e.g.
C20) - Grade Start Cell — the cell where the first final grade appears (e.g.
Y15)
Troubleshooting
- No students found — Your template settings may not match the actual layout of your Excel file. Double-check the sheet names and starting cell references.
- Student ID errors — IDs must be 7–9 alphanumeric characters. Check for blank rows or incorrectly formatted cells in your Excel file.
- Upload failed — This is usually a temporary server-side restriction on the SIAS portal. Wait a few minutes and try again, or contact your system administrator.
- Wrong class auto-selected — Manually select the correct class from the dropdown. Rename your file to include the subject and section for better auto-matching next time.
- Login failed — Verify your credentials by logging in directly at the SIAS portal first.
